Our lawful bases for collecting or using personal information to provide services and goods are:

  • Contract – we have to collect or use the information so we can enter into or carry out a contract with you. All of your data protection rights may apply except the right to object.
  • Legal obligation – we have to collect or use your information so we can comply with the law. All of your data protection rights may apply, except the right to erasure, the right to object and the right to data portability.
  • Legitimate interests – we’re collecting or using your information because it benefits you, our organisation or someone else, without causing an undue risk of harm to anyone. All of your data protection rights may apply, except the right to portability. Our legitimate interests are:
    • We have a legitimate interest in retaining certain personal information beyond the completion of a booking where this is reasonable and does not override your rights. This includes keeping records of guest communications and stays to handle any follow-up queries, lost property, or disputes; maintaining a record of any damage or serious incidents to protect the property and future guests; and contacting a guest where we have a genuine operational reason to do so, such as a significant change to their upcoming booking or a safety concern relating to their stay. We do not use personal data held under this basis for marketing purposes, and we do not retain it for longer than is reasonably necessary.

Online booking system providers

This data processor does the following activities for us: Manages guest reservations, stores booking details including guest names, contact information, stay dates and room allocation on our behalf.

Payment services providers

This data processor does the following activities for us: Processing of guest payment card transactions and retention of payment records on our behalf.

Cloud-based email and productivity software providers

Provides email hosting and communication services through which guest enquiries, booking correspondence and personal data are transmitted, received and stored on our behalf.
